Cancellation and Refund Policy
This Cancellation and Refund Policy explains how cancellations, refunds, missed classes and programme changes are handled by The UK Research Academy.
Last updated: 25 May 2026
Key points
This summary is provided to help you understand the main points of this policy. Please read the full policy below for complete details.
1. About this policy
The UK Research Academy provides online academic preparation programmes for students preparing for UK postgraduate study.
We want our cancellation and refund arrangements to be clear, fair and easy to understand. This policy explains:
- your right to cancel after enrolling;
- how refunds are calculated;
- what happens if you withdraw before or after the programme starts;
- what happens if you miss a class;
- what happens if we need to change, postpone or cancel a programme.
In this policy, “we”, “us” and “our” means The UK Research Academy. “You” means the student, parent, sponsor or other person who books or pays for a place on a programme.
In this policy, “cancel” means that you decide not to take up your place on the programme or decide to stop participating after enrolment. The refund position may depend on when you cancel, whether the programme has started, and whether teaching, support or learning materials have already been provided.
In this policy, “cohort” means the group of students enrolled on the same scheduled version of a programme. For example, students who begin the same 10-week programme on the same start date would usually be part of the same cohort.

2. Your legal right to cancel
If you enrol online, by email, by telephone or through any other method, you may have a legal right to cancel within 14 days of entering into the contract with us.
This is sometimes called the cooling-off period.
The 14-day period usually starts on the day after we confirm your enrolment or booking.
You do not need to give a reason for cancelling during this period.
3. If the programme starts during the 14-day cancellation period
Sometimes a programme, class, tutorial, clinic or access to learning materials may begin within the 14-day cancellation period.
If you ask us to begin providing the service during the cancellation period, and we agree to do so, you may still cancel during the 14-day period. However, we may deduct a fair amount for any teaching, support, learning materials or other services already provided before you cancelled.
This deduction will be proportionate to the services already delivered. For example, if you have attended live classes, received teaching support, accessed learning materials, or taken part in a consultation before cancelling, we may deduct a reasonable amount for those services from any refund due.
We will explain clearly how the deduction has been calculated.
4. How to cancel your booking
To cancel your enrolment on our programme, you must tell us clearly that you wish to cancel. You can do this by emailing: co*****@***************my.com
Please include:
- your full name;
- the programme or cohort you booked;
- the email address used for your booking;
- the date you enrolled;
- a clear statement that you wish to cancel.
You do not need to tell us your reasons for choosing to cancel.
We will acknowledge your cancellation request within 48 hours.
5. Refunds during the 14-day cancellation period
If you cancel within the 14-day cancellation period and the programme has not started, we will normally refund the programme fee you have paid.
If the programme has started, or if you have already accessed teaching, support, consultations, clinics, learning materials or other services, we may deduct a fair and proportionate amount for the services already provided.
Refunds will normally be made using the same payment method used for the original payment, unless we agree otherwise.
We aim to process refunds within 48 hours of confirming that a refund is due.
6. Cancelling before the programme starts, after the 14-day period
If you cancel after the 14-day cancellation period but before the programme starts, refunds are not automatic.
However, we will consider refund requests fairly and reasonably, taking into account:
- how much notice you have given;
- whether pre-course support has already been provided;
- whether learning materials have already been accessed;
- whether we can offer your place to another student;
- any costs we have already incurred;
- any exceptional circumstances you tell us about.
As a guide:
- if you cancel well before the start date, we are more likely to offer a refund or transfer;
- if you cancel shortly before the start date, a refund may be reduced to reflect administrative costs and the difficulty of filling the place;
- if you cancel after learning materials or pre-course support have been provided, a deduction may be made.
We may offer:
- a full refund;
- a partial refund;
- a transfer to a later cohort;
- credit towards a future programme;
- no refund, where this is fair and reasonable in the circumstances.
We will explain clearly how a partial refund has been calculated.
7. Cancelling after the programme has started
If you leave the programme after the 14-day cancellation period has ended, or after teaching, support or access to learning materials has begun, refunds are not automatic. Any refund will normally be reduced to reflect the teaching, support, resources and administrative work already provided.
Because our programmes are cohort-based and places are limited, we may not be able to offer a refund once the programme is substantially underway.
We will consider each request fairly, including any exceptional circumstances.
Where appropriate, we may offer:
- a partial refund;
- a transfer to a later cohort;
- credit towards a future programme;
- another reasonable arrangement;
- no refund, where this is fair and reasonable in the circumstances.
Where a partial refund is offered, we will explain clearly how the refund has been calculated.
8. Missed classes
Students are expected to attend live sessions wherever possible, because live participation is an important part of the programme.
If you miss a class, this does not normally entitle you to a refund.
Where possible, we may provide summary materials, follow-up guidance or an opportunity to attend an equivalent session with another cohort at a different time. However, live participation cannot always be fully replaced.
If you know in advance that you will miss a class, you should tell us as soon as possible.
9. Illness or exceptional circumstances
We understand that unexpected situations can arise.
If you cannot continue with the programme because of illness, bereavement, serious personal difficulty or another exceptional circumstance, please contact us as soon as possible.
We may ask for reasonable evidence, depending on the circumstances.
Where appropriate, we may offer:
- a transfer to a future cohort;
- a pause in participation, where practical;
- a partial refund;
- another reasonable arrangement.
We are not required to offer the same outcome in every case, but we will consider requests fairly and sensitively.
10. Transfers to another cohort
Where places are available, we may allow students to transfer to a later cohort.
Transfers are not guaranteed and may depend on:
- availability of places;
- how much notice is given;
- whether the programme has already started;
- whether a previous transfer has already been granted;
- any difference in fees between cohorts.
A transfer may be offered instead of a refund.
11. Cancellations or changes by The UK Research Academy
We aim to deliver programmes as advertised. However, we may sometimes need to make reasonable changes, for example to session dates, teaching staff, delivery arrangements or programme materials.
If we need to cancel or reschedule an individual class, we will provide a suitable alternative, such as:
- a rescheduled session;
- an equivalent session;
- additional guidance;
- replacement learning support.
If we cancel an entire programme before it starts and cannot offer a suitable alternative, we will provide a full refund of the programme fee paid.
If we postpone a programme, we will offer you the option to transfer to the new date or request a full refund.
12. Minimum cohort size
Some programmes may require a minimum number of students to run.
If a cohort does not reach the required number, we may postpone or cancel it. If this happens, we will tell you as soon as reasonably possible and offer either:
- a place on a later cohort; or
- a refund of the programme fee paid.
13. Payment charges, currency conversion and bank fees
If you pay from outside the UK, your bank, card provider or payment platform may charge fees or apply currency conversion rates.
We are not responsible for charges applied by your bank, card provider or payment platform.
Where a refund is made, the amount received by you may be affected by exchange rates or third-party charges. We do not control these charges.
14. Payments made by parents, sponsors or agents
If a parent, sponsor, recruitment agent or another third party pays for your place, refunds will normally be made to the person or organisation that made the original payment, unless we agree otherwise.
Where the student is aged 18 or over, we will normally communicate directly with the student about participation, progress and personal information, unless the student has authorised us to communicate with someone else.
15. How long refunds take
Where a refund is due, we aim to process it within 14 days of confirming the refund decision.
Depending on your bank, card provider or payment platform, it may take additional time for the money to appear in your account.
16. How to request a refund
To request a refund, please email: co*****@***************my.com
Please include:
- your full name;
- the programme or cohort;
- the email address used for booking;
- the payment date, if known;
- the reason for your refund request;
- any relevant supporting information.
We will review your request and respond as soon as reasonably possible.
17. Complaints
If you are unhappy with a cancellation or refund decision, you may ask us to review it.
Please email: co*****@***************my.com
Please include your full name, programme or cohort, the reason for your complaint, and any relevant supporting information.
We will consider your complaint fairly and aim to respond within 5 working days.
